Speaking Up & Reporting Concerns

A fair process for raising concerns about integrity, working conditions, safety and the conduct of our business.

Purpose and scope

Employees, trainees, contractors, suppliers, customers and other people affected by our work should be able to raise concerns in good faith. This policy covers suspected bribery, fraud, exploitation, harassment, unsafe work, environmental harm and other breaches of WAB’s policies.

How to raise a concern

If your concern involves one of these contacts, please send it directly to the other without copying the person concerned. You may also approach either contact in person to agree a suitable way to raise your concern.

Describe what happened, when and where, the people involved and any supporting information. Proof is not required to raise a genuine concern. Use the designated reporting contacts for sensitive allegations. In immediate danger, move to safety and seek available emergency assistance or the responsible site supervisor.

Protection and confidentiality

Retaliation against a person who raises a concern or assists a review in good faith is prohibited, even if the concern is not substantiated. Deliberately false allegations may lead to proportionate action after a fair review. Access to reports must be limited to those who need the information to assess the concern, protect people, respond fairly or meet legal obligations. Absolute confidentiality or anonymity cannot be guaranteed.

Assessment and response

The recipient must record the concern securely, assess immediate risks and arrange a fair review. A person named in a report must not control its assessment. Where both managers are involved, an impartial reviewer without a conflict of interest must be arranged. Relevant people should have a fair opportunity to respond. Where contact details are available, the reporter should receive acknowledgement and appropriate progress and outcome information, subject to privacy and legal restrictions.

Follow-up and access to remedy

WAB will address substantiated concerns through proportionate corrective action, protection of affected people and steps to prevent recurrence. Records must be restricted to authorised people and retained under an agreed schedule. This process does not prevent lawful reporting to authorities, seeking legal advice or using other available remedies. Management is responsible for maintaining the process and reviewing its effectiveness.
